Pick and pack evidence — photos, scans, and video
Dark Store Systems records scan confirmations at pick (evidence stage 1) and supports configurable photo rules when barcodes cannot be scanned. Packing stations capture video evidence (stage 2, type 2) reviewable on the order and in the supervisor packing video view. Evidence links pick, pack, and despatch — not a separate damage-claims module.
What evidence is captured during picking and packing?
Fulfilment evidence in the live WMS spans three operational stages — each with a defined capture point, not ad-hoc camera use on every scan:
| Stage | When | What is recorded | Review surface |
|---|---|---|---|
| Pick (stage 1) | Scan confirm on the bundle station | Scan evidence by default; optional photo when rules require | Evidence rule mapping; order and supervisor views |
| Pack (stage 2, type 2) | Pack station during fulfilment | Packing video per bench | Order detail panel; supervisor packing video view |
| Despatch | Ship commit on print | Despatch event in order history | Warehouse events and order timeline |
Video is not recorded on every pick by default. Pick-time photos are rule-driven — they apply when EvidenceRuleMapping requires stage 1 (Picking) capture and the operator cannot scan a barcode. Packing video is captured at the packing workspace — a separate station and stage from pick.
How does the pick-to-pack evidence chain work?
- Picker confirms a scan at pick — Default pick confirm writes scan evidence (stage 1). This is the baseline audit trail for what left the pick face on the [bundle picking](/platform/features/warehouse/bundle_picking) walk.
- Photo rule triggers when scan is not possible — If barcode capture fails and an evidence rule applies, the
EvidenceCameraModalopens with Save photo evidence. Operators photograph the item or label; supervisors configure which SKUs or stages require it viaEvidenceRuleMapping. - Totes hand off to packing — Picked work moves to consolidation or a packing lane per site rules. Evidence from pick remains attached to the order lines and pick events.
- Pack station records video — During packing, stage 2 evidence (type 2) captures video at the bench. Recent clips appear per station; processing states show on the order detail panel.
- Supervisor reviews before escalation — The supervisor packing video view and order-level panels let managers replay what was packed without blaming pickers in a vacuum. This is operational proof — not a consumer damage-claims portal.
- Despatch commits the chain — Ship commit on print closes the fulfilment loop in order history. Procurement teams can trace pick scan, optional photo, pack video, and despatch event together.
Why does evidence matter for procurement and disputes?
Buyers evaluating warehouse software increasingly ask: *when a customer says an item was missing or wrong, can you show what happened?* Dark Store Systems answers with stage-linked evidence — scan at pick, optional photo when rules demand it, video at pack — stored against the order for supervisor review.
That shared truth reduces circular arguments between picking, packing, and customer service. It does not replace your commercial returns policy, and there is no standalone “did we ship it” product UI in the admin app. For data handling and retention questions during vendor review, see Security.
What evidence is not captured?
Stay inside product-accurate boundaries when briefing evaluators:
- No mandatory video on every pick — default pick confirm is scan evidence, not a video file.
- No damage-claims portal — packing video and pick photos support operational review, not a consumer claims workflow.
- No autonomous AI picking proof — evidence attaches to operator-confirmed scans and pack-station capture.

Frequently asked questions
Is video recorded during picking or packing?
Packing video is captured at the pack station during fulfilment (evidence stage 2, type 2). Picking records scan confirmations by default (stage 1). Optional photo evidence applies when configurable rules require it and a barcode cannot be scanned — not mandatory video on every pick line.
Can supervisors review packing videos for an order?
Yes. Packing video is reviewable on the order detail panel and in the supervisor packing video view. Recent clips also appear per pack bench. Processing states indicate when video is ready for playback.
Where is evidence stored?
Evidence is stored against the order and linked to warehouse events — pick scan and optional photo at stage 1, packing video at stage 2. Supervisors access review surfaces in the admin app; retention and access controls follow your site configuration and Dark Store Systems security practices. See Security for procurement detail.
Does Dark Store Systems include a damage-claims module?
No. The live product provides scan evidence, rule-driven pick photos, and packing video for operational audit — not a consumer damage-claims portal or standalone “did we ship it” UI. Use packing video and order history to resolve internal disputes before escalating to carriers or customers.
